What's this for?

This tutorial will show you how to use packing slips and the shipping module to track packing jobs in smaller batches.

  • When you pack or ship a job in multiple smaller batches

  • When you want to track what items are shipped or packed.


If you need to print a packing sheet for the entire job content, you can use a template directly from the job board. Refer to the article below:


What you should know

  • If you are packing the entire contents of a JOB, you may not need to use the shipping module. You can print a packing slip directly from the Job. Read this article.

  • The shipping board may not be installed. You will need to contact support to install this module for you.

  • If you create packing slips from jobs or invoices, they are referenced (linked) to each other so you can keep a clear track of, for example, all packing slips relating to one Job.


Setting up a packing slip template

  1. Make sure the shipping board is installed β€” Contact support for help.

  2. Navigate to settings>document templates.

  3. Click +New template.

  4. Select Shipping sheet.

  5. In the side properties window:

  6. Enter a name "Packing Slip, Packing Sheet, Packing advice etc."

  7. Repeat the name under Title override.

  8. Under Due by select No (unless you want to show the due date).

  9. Under Expires select No.

  10. Edit the Customer name, email, phone address options to meet your requirements.

  11. Under Reason select No.

  12. Under Hide title select No.

  13. Under Summary select No.

  14. Under Notes select No.

  15. Under Terms select No.

  16. Under Price list select Inline.

  17. Under Hide prices select Yes.

  18. Under Hide QTY select No.

  19. Under Job ID label enter JOB No.

  20. If you would like the packing slip to display the date it was created instead of the date it was made β€” use the Show date now option.

  21. If you require terms and a signature box, scroll down and turn these options on.

  22. Make sure you hide prices and show SKU and QTY columns if required.

  23. Complete your layout settings.


How to use the shipping board

  1. Packing slips generally will be created from a JOB or an Invoice.

  2. Jobs should be at the completed stage.

  3. From any completed job (document view):

  4. Click show menu (document menu, right side three dots).

  5. Select Create (copy).

  6. Select Shipping (Board).

  7. The document create/copy screen is opened.

  8. If you are a smaller batch quantity of the Job, you can enter the quantity in the title to make things more identifiable WIDGET 10020 (10)

  9. Select any shown shipping address

  10. Click Create.

  11. The new packing slip is opened on-screen in edit mode.

  12. Edit the QTY column in the money list to represent the number of units shipped.

  13. Continue to edit your slip as required.

  14. Click Save (Round, Green button bottom right).

  15. Print a copy of your packing slip if required. Be sure to use the custom template option to select the correct template, or make sure your packing slip template is set as the default under board settings.


How to track packing slips for batches of items relating to one Job (When you ship a job in smaller quantities).

Sometimes you may run a job for 100 units, but the customer might only collect 20 units per week. In this scenario, you may need a paper trail (audit) of the 20 units shipped each week on five separate packing slips. Each packing slip will be dated and be used to collect a signature.

  1. Create the packing slip directly from the Job. This will make the packing slip a sub-document (child) of the Job and display it in the sub-documents section of the Job.

  2. Edit the title of each packing slip to show how many units are shipped; this adds clarity.

  3. When the Jobs are shipped or collected, print a copy and mark the packing slip as Shipped or Closed. It would be best to archive it unless you need to keep it open (as an invoice reminder?).

  4. Each packing slip is linked back to its parent Job.

  5. You can create as many packing slips as required to ship a single job. Just make sure you edit the unit quantities in the packing slip to reflect how many are shipped.


How to collect signatures when parts/items are collected

When customers collect items from your business you may require them to sign a release so they accept the work you have carried out and understand/comply with your terms of business.

  1. Open the job to be signed in back office.

  2. Scroll down to the terms section.

  3. Click the Sign box.

  4. Ask the customer to sign on screen

  5. Download a copy of the signed document either to your project drive or local computer. This will keep a historical copy of the signed PDF and terms, if you choose the project folder option a copy will be stored in the customers file for future reference.

  6. You can select which template is used before you download a copy.
