This tutorial will help you create a live list of all recent invoices with a smart view. Ideal for creating an up to date list of invoices to export.

What you should know

  2. You can instruct the Xero or QB exporter to archive invoices after they are exported, or use a color label.

How to create a smart view of open jobs

  1. Login to the back-office

  2. Click the document list icon in the left side menu.

  3. Remove any existing filters in the top filter bar.

  4. Click 'Add filters'

  5. Click 'Board'

  6. Select your Invoice board from the pop up modal

  7. Click 'Add filters'

  8. Click 'Archive'

  9. Click 'Open' from the modal

  10. This will filter the results to all 'open' jobs.

  11. Sort on the invoice number or date so the list is descending.

  12. Enter 'Invoices for exporting' in the name box

  13. Click 'Save segment'

  14. This saves the list so you can return to it again in the side navigation list under 'Smart views'

Tips

  1. If you mark exported invoices as "Archived" (Refer to the Xero or QB exporter tool) the above report will only show invoices that need archiving.

  2. You may also mark invoices that are exported with a color label to avoid re-exporting the same invoices.
