Create your first automated event.

Set-up

What's this for?

  • How to create an automated event when the document status changes.

What you need to know

  • You can create automated events for any board.

  • Automated events are triggered on documents, such as when the Status changes

  • You can chain multiple actions into one event.

  • Delays can be added in between actions to create delayed actions, such as an email follow-up or task.

Steps:

In my example below, I will add an automated event to update the label color of a JOB.

  1. Go to the JOB board.

  2. Click 'Show menu' on the board menu right side.

  3. Click 'Board automations'.

  4. Check if you have an existing event created for the Status you want to trigger the event. You can edit this event or add a new event using the 'Create automation button.

  5. If you are editing an existing event, skip steps 6-9 below.

  6. Enter a friendly name for your new workflow, such as 'Job queued'.

  7. Select Status Changed for the event trigger.

  8. Select the status name from the status drop drown.

  9. Click Continue.

  10. Click the '+' icon from the automation editor to insert a new action.

  11. Select Change label color from the list of actions.

  12. Set the delay to Right away in the action delay input. You can insert delay events in the automation steps before the email event if you want to trigger the notification after a more extended period. Each delay event can be up to 7-days.

  13. Select the desired label color.

  14. Click Save.

  15. Click Save again on the editor screen (Green button bottom right).

  16. Click Turn on to set the automation live.

Testing

  1. Open a new or existing JOB.

  2. Move the JOB to the Status that triggers the event you added above.

Adding multiple actions to your automated events

  1. Open an existing automated event

  2. You can add a new action to follow your previous activity. Click the + add button.

  3. You can insert a further action before an existing activity. Click the + add button before the current activity.

  4. Select the action from the menu.

  5. Edit the action settings.

  6. Click Save.

  7. Click Save again on the editor screen (Green button bottom right).

  8. Click Turn on to set the automation live.
