What's this for?

  • When customers send items to your facility, you can streamline your operations and improve your customers' experience by sending them an automated confirmation by email or SMS that their job arrived.

What can you do?

  • When customers items arrive at your facility/workshop, send an automated notification that they arrived safely

  • Send an automatic SMS notification.

  • Send a PDF booking confirmation.

  • Provide a live tracking link.

Steps

When new work is checked-in, move it to the 2nd Status on your job board. This Status should imply the work has landed and is physical; good examples are 'Queued', 'Assessment' or 'Landed'. In addition, we can use this Status as the 'Trigger' for our confirmation event to message customers. If your board does not have a 'Landed' status, you can edit your workflow under board settings.

  1. Go to the job board.

  2. Click 'Show menu' on the board menu right side.

  3. Click 'Board automations'.

  4. Check if you have an existing event created for the Status you identified in step (1) above. You can edit this event or add a new event using the Create automation button.

  5. If you are editing an existing event, skip steps 7-13 below.

  6. Enter a friendly name for your new workflow, such as 'Job landed'.

  7. Select Status Changed for the event trigger.

  8. Select the status name from the status drop drown.

  9. Click Continue.

  10. Click the '+' icon from the automation editor to insert a new action.

  11. Select Send customer email.

  12. Set the delay to Right away in the action delay input.

  13. Mark the email as from the Organization.

  14. Enter 'Your parts arrived safely at ACNE co LLC.'

  15. Enter 'Here is an important notification to confirm we have checked-in your parts...' in the pre-header box.

  16. In the message box, write your confirmation email. Note that you can use the {{..}} button in the editor to enter template tags such as customers first name, job id etc.

  17. If you want to add a tracking link so customers can track their job status, check the CTA option. Enter 'TRACK PROGRESS' in the button text box.

  18. If you want to share a PDF copy of the booking, use the PDF attachment option. Note: you can create a custom specific template to convey the correct booking details to your customers.

  19. If you need to share a copy of your terms and conditions, you can upload a PDF copy using the upload option.

  20. Click Save.

  21. Click Save again on the editor screen (Green button bottom right).

  22. Click Turn on to set the automation live.
