  • Automatically notify customers by email when jobs are ready for collection.

  • Send an SMS notification.

Steps

You should outline the numerous steps to reach the pick-up status after your workshop completes jobs. For example, the workshop may need a Quality Control step and pack and invoicing steps before any customer can collect finished work. You can map these steps in the workflow of your job board to help you fulfil each process in your workflow.

Once jobs are marked ready or pick-up, we want to trigger an automated notification to our customers to let them know their work is ready for collection.

Let's get this working:

  1. Go to the job board.

  2. Edit your board status's (workflow) so you can a defined step for 'Ready' or 'Pick-up'.

  3. Click 'Show menu' on the board menu right side.

  4. Click 'Board automations'.

  5. Check if you have an existing event created for the 'Ready' or 'Pick-up' Status you identified in the step above. You can edit this event or add a new event using the Create automation button.

  6. If you are editing an existing event, skip steps 6-12 below.

  7. Enter a friendly name for your new workflow, such as 'Job ready for pick-up'.

  8. Select Status Changed for the event trigger.

  9. Select the status name from the status drop drown.

  10. Click Continue.

  11. Click the '+' icon from the automation editor to insert a new action.

  12. Select Send customer email.

  13. Set the delay to Right Away in the action delay input.

  14. Mark the email as from the Organization.

  15. Enter 'Job ready for collection | ACNE co LLC.'

  16. Enter 'Good news... Your job is ready for collection.' in the pre-header box.

  17. In the message box, write your email. Note that you can use the {{..}} button in the editor to enter template tags such as customers first name, job id etc.

  18. If you want to add a tracking link so customers can track their job status, check the CTA option. Enter 'TRACK PROGRESS' in the button text box.

  19. Click Save.

  20. Click Save again on the editor screen (Green button bottom right).

  21. Click Turn on to set the automation live.
