Set-up

  • Tudodesk back-office

What's this for?

  • How to automatically update your customers when jobs are delayed or queued.

What can you do?

  • Automatically update customers when jobs are delayed for a specified amount of time.

  • Provide a live tracking link.

Steps

When you check in new work orders on your jobs board, you should immediately move them to the 2nd Status on your board. This Status should imply that the job is queued. Delayed jobs can then 'Trigger' an event for our customer status update. It is a good idea to add a queue at the front of your job/work orders board. You can learn more about workflows here.

  1. Go to the job board.

  2. Click 'Show menu' on the board menu right side.

  3. Click 'Board automations.

  4. Check if you have an existing event created for the 'Queued' Status you identified in the step above. You can edit this event or add a new event using the Create automation button.

  5. If you are editing an existing event, skip steps 6-12 below.

  6. Enter a friendly name for your new workflow, such as 'Job queued'.

  7. Select Status Changed for the event trigger.

  8. Select the status name from the status drop drown.

  9. Click Continue.

  10. Click the '+' icon from the automation editor to insert a new action.

  11. Select Send customer email.

  12. Set the delay to 7 days in the action delay input. Note that you can insert delay events in the automation steps before the email event if you want to trigger the notification after a more extended period. Each delay event can be up to 7-days.

  13. Mark the email as from the Organization.

  14. Enter 'Job-status update from ACNE co LLC.'

  15. Enter 'Here is an important notification about the status of your job.' in the pre-header box.

  16. In the message box, write your email. Note that you can use the {{..}} button in the editor to enter template tags such as customers first name, job id etc.

  17. If you want to add a tracking link so customers can track their job status, check the CTA option. Enter 'TRACK PROGRESS' in the button text box.

  18. Click Save.

  19. Click Save again on the editor screen (Green button bottom right).

  20. Click Turn on to set the automation live.

Tips

  • You can insert multiple delay actions up yo 7 days each to increase the time before customers are notified of any delay.

  • You can add multiple email notifications and SMS messages to keep customers informed of prolonged delays.
