How to segment Jobs and work orders by Color or Material

What's this for?

  • Depending on the type of business you run, you may want to segment jobs by material or color. Tudodesk can help you set up a pre-defined list of colors or materials and quickly assign them to your Jobs.


What you should know

  • You can rename the Reason/Code field to color or Material.

  • Tudodesk can help you set up a pre-defined list of colors or materials and quickly assign them when you create working jobs.

  • You can import a CSV file of colors such as a powder coating RAL color chart.

  • You can show the color or material option on the job sheets when you print or from the Job Display System.

  • You can create segment lists by filtering on colors and materials and then saving those lists as 'smart-lists.'


How to customize your job form for Color, Material entry.

  1. Open an existing job sheet in the back-office.

  2. Scroll down to the summary section and click the Customize button on the right side of the section heading.

  3. Check the Reason/code option and modify the label, for example, color.

  4. Scroll down and click Save (you will need to reload for your changes to update).


How to set-up a saved list of colors or materials using the property selector.

  1. Open an existing job in the back-office.

  2. Scroll down to the summary section.

  3. Click the search icon next to the Reason/code entry box (renamed above as color or Material).

  4. Click + New item on the item selector screen.

  5. Enter the color or Material details. If you have a RAL color code or RGB color value, you can enter these here.

  6. Click save and repeat to create your list.

How to import a list of colors or Materials.

  1. Follow the above tutorial steps to (4)

  2. From the New item panel, select the Import CSV file.

  3. Upload your CSV list of colors or materials.

  4. Map any code column, Description, and RGB values (the min' requirement is a description column)

  5. Follow the on-screen instructions and Import.

  6. Note the import feature will remove any existing entries.


How to assign a color or material option on a Job sheet or work order.

  1. Open an existing job in the back-office.

  2. Scroll down to the summary section.

  3. Click the search icon next to the Reason/code entry box (renamed above as Color or Material).

  4. Select the option from the list, you can filter using the search box.

  5. Your selected option is automatically applied.

How to assign individual colors for each part in the money list.

Sometimes you may need to specify individual colors/finishes for parts in the money list. You can do this by specifying a color per item.

  1. Open an existing job in the back-office.

  2. Scroll down to the money list section

  3. Click the pencil button beside any item in the list or add a new item

  4. From the item edit screen select Service in the top tab

  5. Click the search icon button in the info box

  6. Select the color from the available items in the list. Note you will need to set-up or import your colors (see above for help on this)

  7. Click save

  8. Repeat for other items listed.

How to display the color or material on your job sheet or work order template.

  1. Click the settings icon at the bottom of the side menu bar.

  2. Select the Templates option in the side navigation list

  3. Select an existing Job template from the list or create a New template.

  4. Scroll down in the Template properties situated on the left until you see the Reason option — Mark as Yes.

  5. Scroll down in the Template properties located on the left until you see the Reason label option — Rename as color or Material.

  6. Click Save to update your changes.

How to group jobs by color or material from JDS (Job display system.)

  1. Log into the Job Display System (JDS)

  2. From the top menu select the Group by icon (3rd icon from right.)

  3. In the side group menu select Reason.

  4. This will re-organize you jobs to be shown by group (Color or material.)

  5. You can remove the group filter by selecting Clear from the group menu.
