How to Automate Priority level and Escalation in Tudodesk

This feature allows you to easily manage and prioritize your tasks based on their importance. In this guide, we'll walk you through the steps to create an automation that updates the priority level of a work order and escalates it when necessary.

Step 1: Accessing the Automation Settings

  1. Log in to Tudodesk and navigate to the "Job Board" section.

  2. Click on "Show menu" on the right side of the board menu.

  3. Select "Board automations" from the menu options.

Step 2: Creating a Priority Update Automation

  1. Check if you have an existing event created for the status you want to trigger the priority update on. If you do, you can edit that event. Otherwise, click on the "Create automation" button to add a new event.

  2. Enter a friendly name for your new workflow, such as "Priority Update."

  3. Select "Status Changed" as the event trigger.

  4. Choose the specific status from the dropdown menu that will trigger the priority update.

  5. Click "Continue" to proceed.

Step 3: Configuring the Priority Update Action

  1. Click the '+' icon in the automation editor to insert a new action.

  2. From the list of actions, select "Change priority level."

  3. Set the delay for the action to your desired timeframe.

  4. Choose one of the following options:

    • To escalate the priority level by one notch, select "Escalate the priority."

    • To forcefully set the priority to a specific level, select "Force the priority" and choose one of the available priority options (low, med, high, highest).

    • To set the priority to a minimum level, select "Set priority to a minimum level" and choose one of the available priority options (low, med, high, highest). This ensures that if the current priority is already higher than the selected minimum level, it will not be changed.

  5. Click "Save" to save the action.

Step 4: Escalating Priority Levels

  1. To implement an escalation process, add additional actions with delays in between.

  2. After the initial priority update action, click the '+' icon to add a new action.

  3. Set the delay for the desired timeframe, such as 1 day.

  4. Add a new action to escalate the priority level.

  5. Repeat steps 2-4 for each escalation level you want to implement, adjusting the delay and priority as needed.

Step 5: Save and Activate the Automation

  1. Click "Save" to save the automation.

  2. Click "Save" again on the editor screen (Green button bottom right).

  3. Click "Turn on" to set the automation live.
