How to Organize, Categorize and Prioritize your boards with coloured labels.

One of the easiest ways Tudodesk users can add a dash of color, structure, and clarity to their boards is by adding labels to jobs, deals, leads and invoices. With labels, you can add an extra layer of information at a glance and achieve more robust filtering and search capabilities from Backoffice and JDS.

You can use labels in many ways: prioritizing tasks, organizing jobs, or bringing a flare of urgency.

How to assign a label when in document view mode

  1. Login to Backoffice.

  2. Find a document such as a JOB and open in document view mode.

  3. Hover over the header (top) of the Document.

  4. The label selector will appear.

  5. Select a color from the label options.

How to batch assign labels to multiple documents, jobs, deals or invoices.

  1. Login to Backoffice.

  2. Navigate to a board or use the document search, filter option.

  3. Select one or more documents, jobs by clicking the check box.

  4. Select the Batch menu in the top-right menu bar.

  5. Select Label from the drop-down menu.

  6. Pick a color and click Run.

How to assign a label when viewing an event (job) in the scheduler

  1. Navigate to the scheduler in the side navigation menu.

  2. Open a JOB/Event in the scheduler (click it).

  3. In side the side drawer that appears click the actions button.

  4. Select Change Label.

  5. Select label color.

  6. Click Save.

How to create an event to automatically label jobs

You can add labels to jobs automatically when the jobs are updated and move status on your boards. For example if a job is ready for invoicing or has landed on a particular status.

  1. Go to the job board.

  2. Click 'Show menu' on the board menu right side.

  3. Click 'Board automations'.

  4. Check if you have an existing event created for the status you want to trigger the event on. You can edit this event or add a new event using the 'Create automation' button.

  5. If you are editing an existing event, skip steps 6-9 below.

  6. Enter a friendly name for your new workflow, such as 'Job queued'.

  7. Select Status Changed for the event trigger.

  8. Select the status name from the status drop drown.

  9. Click Continue.

  10. Click the '+' icon from the automation editor to insert a new action.

  11. Select Change label color from the list of actions.

  12. Set the delay to Right away in the action delay input. Note that you can insert delay events in the automation steps before the email event if you want to trigger the notification after a more extended period. Each delay event can be up to 7-days.

  13. Select the desired label color.

  14. Click Save.

  15. Click Save again on the editor screen (Green button bottom right).

  16. Click Turn on to set the automation live.

How to filter JOBS by color label

  1. Login to BackOffice

  2. Navigate to the document search view (click the document icon on the side menu bar, 3rd icon).

  3. Remove any existing filters in the top filters menu.

  4. Click Add filters.

  5. Select Document from the filter options.

  6. Select Jobs and click +Add filter.

  7. Click Add filters.

  8. Select Label.

  9. Choose a color and click +Add filter.

  10. You can apply more filters or save your search as a saved segment.

Filter JOBS by color label in JDS (Job display system)

  1. Login to JDS

  2. Click the filters icon in the top menu bar

  3. From the filters side menu select one or more colors to filter your board

  4. When you apply filters they will be remembered whn you return next time to the same device.

How to batch apply a label to JOB(s) in JDS

  1. Login to JDS

  2. Click on or more JOBS displayed anywhere in the middle or each JOB row

  3. On the top menu a batch icon will appear showing how many jobs selected

  4. Click the batch menu icon (check box)

  5. From the side menu select the Label color.

  6. Click Run from the pop up window to update the Jobs selected.
