New automation builder, pipeline editor plus Zapier integration to thousands of apps and API.

We've got a sneak peek of some exciting updates in our quest to make Tudodesk the best possible platform for running small-manufacturing, job shops and repair shops.

πŸŽ‰ Add color to your pipeline (workflow)

We know many customers have a complex pipeline to onboard jobs, process customers and manage workshop processes.

Bring clarity and grouping to complex pipelines by assigning colors to represent a group of statuses, such as your shipping process.


πŸŽ‰ Edit board pipelines, add and re-arrange statuses

We added the board pipeline editor to all accounts, now everybody can set up a customized pipeline to help you onboard, process and ship jobs. Easily add new statuses, remove or re-arrange the order. From the editor you can assign group colors and set-up macros.


πŸŽ‰ New automation engine

Automation has been at the heart of Tudodesk. Our latest automation engine helps you work smarter, faster, keep your team and other applications in sync while you focus on getting jobs checked-in and shipped.

Here are some of the fantastic actions you can use as your workshop processes orders:

  • Post comments.

  • Change the label (color) status.

  • Create a document such as an Invoice.

  • Send a survey.

  • Update the status of a job or its parent (mark a job as in progress when the customer pays or approves an estimate).

  • Create a task for a team-mate (create a task to arrange shipping when a job completes).

  • Trigger a webhook to an external API (instruct Zapier to create an invoice in QuickBooks when a job completes or it is queued.)

  • Send emails.

  • Send SMS.

You can trigger one or many actions in series when an event occurs. These actions can be staged with time delays, for example after a day, a week and so on.

Trigger actions when:

  • A job is updated

  • A job is checked in

  • A job completes

  • An Estimate is approved

  • An Invoice is paid.


πŸŽ‰ New automation editor

Our new automation engine will be a tremendous asset to any workshop. Still, unless you can duck-tape your processes together, it's useless. To help you get started, we have a new automation builder.

Here are some of the things you can do:

  1. Notify a customer when they drop off work by SMS and Email. Attach a PDF order. Create a task in the workshop to start the job, then create an invoice in Zapier so accounts can bill the work.

  2. Mark a job as red if overdue. Send a note to the customer that an order is delayed. Create a task to call the customer if the delay is greater than 21 days.

  3. Send orders to a Google sheet when they are ready for shipping.

  4. Send reminder notifications to customers when jobs are waiting for collection. Create a task to call the customer after 14 days.


πŸŽ‰ New API - Zapier integration

No one likes double typing. Our new API is here to make that easier. We want to help you send jobs and work orders out to other applications so you can connect all your systems. Our most significant request is sending data into 3rd party apps and sending data from 3rd party apps into Tudodesk.

Here are just some of the things you can do with our API and Zapier:

  • Send jobs into QuickBooks or Xero when they are checked in or completed.

  • Send orders from Woocommerce, Shopify or Magento as new jobs in Tudodesk.

The new Tudodesk API can be used to programmatically:

  1. Look up customers by ID or Email

  2. Create new and update existing customers by ID.

  3. Look up documents by document number or ID.

  4. Create new or update existing documents.

  5. Upload files to a document.

  6. Post comments on a document.

  7. Create a task for a document and user.

  8. Update the status (MOVE) a document on a board

  9. Create a task for a document and user.

  10. Archive/close or open a document.


πŸŽ‰ Color or service type on item lines

We call them reason codes, but you might have them set up as color or service type. You can now add these at the item level so you can segment items and parts individually. This will also show up on PDF, Printed Work Orders.


βœ… Other fixes and tweaks in this update

  • UI fix on custom template V11. Improved column spacing layout.

  • UI fix on message thread email.

  • UI fix on order tracking page.

  • UI improvements to back office (Side navigation links).

  • Fixes for document Quick views, search links.

  • Improvements to Invoice due date, order due date.

  • Addition of Email_CC and Billing_CC to the customer profile.

  • Order tracking link fix in preview mode (Back-office).

  • Removed country in Quick Books exporter for local companies.

  • Fixes for Import customers.

  • Performance enhancements.


What we are working on:

  1. Tracking inventory of consumables such as powder, raw material.

  2. Tracking time

  3. Improvements to document views, layout and design. We are working on a re-design.

  4. Additional attributes to documents so you can collect even more data.
