Archive, delete, or encrypt a contact Tudodesk.

What you should know

  • When you archive a contact, we will hide it from search and segment lists and filters you have created.

  • Transactions such as invoices, jobs, estimates, messages created for the contact will not be archived.

  • When you archive a contact we will block all incoming messages.

  • For legal reasons you may need to keep and audit of your customers records for up-to 5 years. Make sure you edit the information in the way detailed below.

  • If you remove your customers information. It will update across our system shortly afterwards. This may effect invoices, estimates and jobs you have provided.

How to archive a customer (remove)

  1. Open the customer's profile page.

  2. Select Actions in the top menu bar.

  3. Select Archive from the menu.

  4. Click Archive in the confirmation dialog.

How to batch archive customers (remove)

  1. Go to the customer search view.

  2. Use the search or filter tools to locate the customers to archive.

  3. Check the check-box for each customer to remove in the list

  4. Click the Batch menu in the top bar

  5. Select Archive from the drop-down menu

  6. Click Archive contacts to complete.

How to encrypt customers personal data before you archive:

  1. Open the customer's profile page.

  2. Edit the customer's first and last name by replacing it with "???".

  3. Edit the customer's company name by replacing it with "???".

  4. Edit the last four digits of the phone with "????"

  5. Edit the first part of the email preceding the @ with "???" so it looks like "[email protected]."

  6. You may also want to remove the customer's address or other sensitive information - This may not be beneficial.

  7. Scroll down and make sure you OPT the customer out of receiving both transaction and marketing emails.

  8. Click Save.
